From lead scores to live signals.

## What stays with your people

The rules your teams agreed: what counts as a lead, who owns it, when sales takes over.

## What is changing, in two directions

1. **Agents coming in.** A buyer's agent may make the enquiry, at any hour, and expect an answer in minutes. It does not click the way people do, so scores built on clicks miss it.
2. **Your work moving to agents.** Agents keep the data clean, score on live signals and get every lead to a named person the same day.

## The problems we see

Each one with what you keep, and the questions buyers ask on the way to fixing it, answered.

### Nobody can say what happened to last quarter's leads.

Your work moving to agents. What you keep: The people who answer enquiries.

- **Enquiries come in and deals come out. Why does the middle matter?** The middle is where revenue goes missing quietly. If enquiries land in an inbox, nobody can say how many came, who answered or what happened next.
- **What is the smallest system that fixes it?** Four things. Every form writes to the CRM. A confirmation goes out at once. Each enquiry goes to a named person. Stages are defined so anyone can see where it stands.
- **Can that be done in the tools we already have?** Almost always. In my two-week assessment those fixes are made in your own systems while I am there.

### Our first reply takes a day.

Your work moving to agents. What you keep: The personal reply from a real person.

- **We reply within a day or two. Is that slow?** By then the buyer has often heard from someone else. The first useful reply tends to shape the shortlist.
- **Can a first reply be instant and still be honest?** Yes. The confirmation is instant and says it is automatic. The personal reply follows from a named person, from a draft an agent prepared. A person reads it and sends it.
- **What happens to quality when agents draft replies?** Nothing leaves unread. The agent does the looking up and the first draft. Your person keeps the judgement and the send button.

### Our lead score counts clicks, and the visitor may be an agent.

Agents coming in. What you keep: The stages and the handoff your teams agreed.

- **Our scoring has worked for years. What changed?** It counts human behaviour: pages viewed, emails opened, forms filled. When a buyer sends an agent to do the reading, those clicks never happen, and a ready buyer can look like nobody.
- **What do we score in its place?** Keep fit, which still holds. Add signals that survive delegation: a direct question, a request for pricing, a change at the company. Score what the buyer does, whoever does the clicking.
- **Do we have to rebuild the whole model?** No. The stages and the handoff stay. The inputs change. That is a piece of work with a clear edge.

### An agent cannot make an enquiry.

Agents coming in. What you keep: Your protection against spam.

- **Why would an agent fill in our contact form?** Because its owner said: ask these five suppliers for a quote. Many forms stop it with a puzzle, several steps or a required phone call.
- **Should we drop the protection?** Keep it and add a door: an email address in plain text, a short form, the common answers on the page. Then decide how an enquiry from an agent is routed.
- **How do we tell a buyer's agent from spam?** By what it asks and who it says it acts for. A real one names the need and wants specifics. Send it to a person to confirm.

### We cannot trace revenue back to what produced it.

Your work moving to agents. What you keep: Your channels and your judgement about budget.

- **We know what marketing costs. Why can't we say what it returned?** The lead, the deal and the revenue sit in different places with nothing joining them. Each tool reports on itself.
- **What has to be joined?** The source on every lead, the stages from first touch to closed won, and the deal value. Keep those three clean and the report follows.
- **Have you done this at scale?** Yes. A paid social programme I ran at Sustainalytics turned roughly $400K of annual spend into about $18M in pipeline and $6M to $7M in closed revenue. Tracing spend to revenue is the work I mean.

## What is in Route

- CRM lifecycle stages
- Lead scoring and routing
- Pipeline reporting
- Data hygiene

Each area can be bought three ways: we set it up once, we run it for you every month, or agents keep watch and each month you hear what changed and what to do next. Most start with [the two-week assessment](https://closedwonlabs.com/assessment/).
